KoboToolbox organization servers for unlimited usage

Our team has extensive experience setting up and maintaining secure standalone custom-branded KoboToolbox servers. Our current clients and partners include United Nations agencies and international nonprofit organizations, such as the United Nations Refugee Agency (UNHCR), the United Nations Office for the Coordination of Humanitarian Affairs (UN OCHA), the International Office for Migration (IOM), Médecins Sans Frontières (MSF), the International Federation of Red Cross and Red Crescent Societies (IFRC), and Save the Children.

For all KoboToolbox server set up and system administration, we provide service level agreements (SLA) that specify the level of administration support, backup frequencies, and other details relevant to each organization.

In addition to our regular KoboToolbox features, organization-level servers include:

This is the option chosen by most organizations. Organizations can choose to have dedicated servers installed on Amazon Web Services (AWS) or Microsoft Azure, either in the United States or in the European Union.

All necessary infrastructure is provided by Kobo on AWS or Azure, including multiple database servers for redundancy, file storage, and email for system notification. We conduct all system administration required for the server resources, updating the infrastructure to ensure stability, creating regular database backups, and deploying new KoboToolbox releases. We also provide technical troubleshooting in case of any server issues to ensure uptime and full functionality of the software for client users.

Support for organizations’ own servers

We also support organizations that require KoboToolbox to be installed on their own environments. This may include server instances already created by organizations, as well as fresh installations to be done by our team. In these instances we provide two levels of support:

  • First line support: We conduct all system administration required for the server resources, updating the infrastructure to ensure stability, creating regular database backups, and deploying new KoboToolbox releases. We also provide technical troubleshooting in case of any server issues to ensure uptime and full functionality of the software for client users.
  • Second line support: Organizations conduct system administration required for the server resources. Our team responds to technical questions and provides second-line technical support to assist with troubleshooting, identify solutions, and suggest changes to the infrastructure based on usage patterns.
